CRM for small business: the right CRM for one person, a small team or a growing sales team
Short answer. If it is just you, HubSpot’s free CRM or Less Annoying CRM keeps contacts and follow-ups in one place without setup. A small sales team that lives in a pipeline should try Pipedrive. Teams of 10 to 50 that expect more process should compare Zoho CRM, Freshsales and Salesforce Starter, which have clear upgrade paths.

The options, and what each one costs you in effort
Just you, free
HubSpot CRM
Free CRM for two users and 1,000 contacts; Starter removes branding and raises limits.
You give up: Contact caps and paid marketing contacts drive upgrades.
When you grow: Free → Starter → Professional; contact and marketing-contact limits drive upgrades.
Owner who wants simplicity and support
Less Annoying CRM
One plan with no tiers, free importing and free phone and email support.
You give up: Deliberately simple: little automation or marketing.
When you grow: One plan; no tiers to move through.
Small sales teams
Pipedrive
Pipeline-first CRM with a 14-day trial and spreadsheet imports.
You give up: No free plan, and features are tiered.
When you grow: Lite → Growth → Premium → Ultimate.
Growing team on a budget
Zoho CRM
Free for three users; Standard adds sales automation and multiple pipelines; data carries over when upgrading.
You give up: Free edition caps records and email sends.
When you grow: Free → Standard and higher without losing data, per Zoho.
Teams that call and email from the CRM
Freshsales
Built-in phone and two-way email sync, with a free plan for small teams.
You give up: Freshworks pages disagree on the free plan’s user cap.
When you grow: Free → Growth → Pro → Enterprise.
Teams planning to grow into Salesforce
Salesforce Starter Suite
Guided setup with checklists and templates, and an upgrade path to Pro Suite and full Salesforce.
You give up: More system than a one-person business needs.
When you grow: Starter → Pro Suite → full Salesforce editions.

“Not stated” means the vendor pages we checked do not say, not that the feature is missing. Check current prices on each vendor’s pricing page.
Signs you are outgrowing your current setup
- You hit the free plan’s user or contact cap.
- You need automated follow-ups, territories or forecasts.
- Marketing and sales lists live in different tools.
How size changes the decision
One person needs a contact list with reminders. A small team needs a shared pipeline and to see who talked to whom. Past ten salespeople, territories, forecasting and automation decide whether the CRM is used or bypassed.
Before you choose
Import a real export of your contacts during the trial, not sample data. Check that email and calendar sync work for everyone, and decide who owns the CRM setup.
For software chosen by profession (for example, a CRM for photographers or realtors), see a profession-specific guide.
